The short definition
A CMMS holds your asset register, generates and tracks the work against it, captures what the technician did, and reports the result. In practice that means four jobs:
- Know what you have. An asset registry with hierarchy, serial numbers, warranties and history.
- Know what is owed. Preventive schedules from OEM requirements plus corrective work as it arises.
- Get it done safely. Assignment, mobile job forms, permits and parts.
- Prove it happened. Evidence, compliance status and reporting.
What a CMMS is not

The overlap is real, which is why buyers get confused. The test is simple: if the question you cannot answer today is "what maintenance is outstanding and can I prove what we did", the missing system is a CMMS.
When a spreadsheet stops being enough
Spreadsheets work until one of these becomes true, and then they fail quickly:
- More than one person needs to update the same plan on the same day.
- Somebody outside your company, an owner or a contractor, needs a view of it.
- You need evidence, not a tick: photographs, readings, signatures and times.
- You are asked what stock is on the shelf and the honest answer is a guess.
- A warranty or availability claim turns on what was done six months ago.
Why energy portfolios are a different problem
Classic CMMS software was written for a factory: one site, one maintenance department, one employer. A renewable portfolio is many unmanned sites, mobile technicians, an owner in one company, an O&M provider in another and specialist contractors in a third. The software has to handle several organisations working on one record with different rights, which is a permissions problem before it is a maintenance one.

What does CMMS stand for?
Computerised maintenance management system. In the United States it is usually written computerized.
Is a CMMS the same as an EAM?
An EAM, or enterprise asset management system, is broader: it covers the whole asset lifecycle including capital planning and finance. A CMMS concentrates on maintenance execution.
Do we need a CMMS if we already have SCADA?
Usually yes. Monitoring tells you an inverter has tripped. It does not schedule the service, hold the permit, track the spare or prove the work was done.
