Preventive maintenance that plans a portfolio, not a site

PM scheduling breaks down when every site is a separate spreadsheet. ClearDeskPro builds the plan from your asset types and frequencies, applies it across the portfolio, and gives each visit the form it needs.

Schedule once, apply everywhere

Maintenance plans are defined by what the asset is and how often the OEM says to service it: quarterly battery inspections, six-monthly HVAC services, annual thermography. Apply a plan to a site and the work orders are generated with the right dates, the right type and the right form attached.

Plans that run per circuit or per string generate one visit per circuit while still counting as one maintenance plan, so the schedule reflects the work and the reporting reflects the programme.

Every visit carries its form

A scheduled job with no form is a diary entry. In ClearDeskPro each maintenance plan says whether a job form is required and which one, so the technician arrives with the correct checklist and the completed record is comparable year on year. Renaming a plan does not orphan its form, and an admin editing a form does not silently change what a technician has already half-completed.

Compliance you can prove

For a client, an insurer or a warranty claim, the question is rarely "did you do it" but "show me". Because every scheduled visit produces a completed form with timestamps, photographs and the technician's name, the annual programme can be evidenced without assembling anything by hand.

  • See the whole planned year across every site in one view.
  • Spot the sites that are behind before the client does.
  • Show which plans ran, when, and by whom.

Spares audits as scheduled work

Stock only stays accurate if somebody counts it. Spares audits can be scheduled like any other preventive visit, and the count feeds straight into the stock position used by ordering and reporting, so the parts figures are as current as the last audit rather than as current as the last guess.

Common questions

Can plans differ by site?

Yes. Plans are applied per site, so a portfolio can run a common programme with local variations without maintaining separate schedules.

What happens when an OEM changes a service interval?

Change the frequency on the plan and future work orders follow the new interval. History stays as it was performed.

Can a preventive visit raise corrective work?

Yes. Defects found during a service can be raised as corrective work orders from the job, carrying the photos and context with them.
